This guide will show you how to request virtual parking permits for your department's visitors using the Visitor Parking Request (VPR) form.

Overview

You must have a visitor parking requester account! Click here to request an account.

  1. Submit a visitor parking request.
  2. UTAPS will approve your request and email you a unique permit link.
  3. Forward the permit link to your visitor.
  4. Your visitor will use the link to register their vehicle and activate their virtual parking permit.
  5. Your visitor will receive a receipt email confirming their parking date and location.

If your visitor is unable to use the link to their virtual permit for any reason, use one of the options listed on the Department Visitor Parking page instead. We recommend using coupon codes.

Visitor Parking Requester Account

You must be approved as a visitor parking requester before you can access the visitor parking request form.

To request visitor parking access:

  1. Submit an OnBase CARS request for the SA Role "VISITOR PARKING ENTRY".
  2. The CARS request form will be approved by the required authorities.
  3. UTAPS will confirm your approval.

You must login to the parking portal using a special visitor parking link.

To login to the parking portal and request visitor parking:

  2. Click the SacLink Login button.
  3. Authenticate your SacLink account using Duo.

Permit Options

If you prefer to distribute coupon codes, submit an event parking request.

Standard Permits

  • 1 Day Employee Parking ($7)
  • 1 Week Employee Parking ($15)
  • 2 Week Employee Parking ($30)
  • 3 Week Employee Parking ($45)
  • 4 Week Employee Parking ($60)

Waived-fee Permits

Visitors that meet the waived-fee criteria are eligible for student visitor permits paid by our All University Expense account. The following waived-fee permits are available:

  • Unpaid Guest Speaker: Visitors invited by faculty to speak in a class and not paid for their time.
  • Unpaid Volunteer: Persons volunteering their time without compensation. Volunteers working on campus more than 3 days must apply for a volunteer semester parking permit.

Waived-fee parking permits also have the following requirements:

  • The request must be for a maximum of 3 days. Anyone on campus more than 3 days is not considered a "visitor" and must use standard permit options.
  • The visitor is not an enrolled Sac State student.
  • The visitor is not a Sac State faculty or staff (active or retired).
  • The visitor is not compensated in any way for their time on campus.
  • The visitor is not a contractor, consultant, or vendor.
  • The visitor is not a student or teacher attending a class, training, workshop, conference, or camp.

Anyone not meeting all the criteria above must pay parking fees. UTAPS may require official documentation proving the above criteria are met.

Special Permits

If your department has special permits available, they will be listed at the bottom of the permit selection drop-down.

Waived-fee permits are student parking only. If your visitor needs employee parking, you must select one of the paid standard permit options.

Instructions

Submit a Visitor Parking Request form

All visitor parking requests must be submitted by 3pm, the day before the parking needed date. We recommend purchasing coupon codes for any drop-in or last minute visitors.

  1. Enter the Parking Needed Date. This is the date your visitor will park on campus.
    1. If your permit is valid for more than 1 day, set this to the last day your visitor needs to park! This is so they can still activate their permit if they arrive a day late.
  2. Enter the Quantity Requested. This is the number of visitors.
  3. Select Permit Type. View Permit Options above for details on each permit type.
  4. Enter the Speedchart. This is the account we will charge. Waived-fee permits will not charge the account, but is still required for verification purposes.
  5. Click Submit.
  6. You will receive a confirmation email with your request details.

Charges

Visitor permit charges are processed monthly.

Waived-fee permits will not charge the account, but still require an account number for verification purposes.

Example Requests

One guest speaker on campus for one day.

Five general visitors on campus for one day.

One volunteer on campus for two consecutive days (e.g. June 14th through June 15th).

Two guest speakers on campus for three consecutive days (e.g. June 13th through June 15th).

Three general visitors on campus two non-consecutive days (e.g. June 1st and June 15th).

This is the most common request. The "Quantity Requested" indicates only one permit is needed for one visitor. The "Parking Needed Date" is the date of their visit.

This is a common request for business meetings when you have a group of visitors coming on the same day.

The "Quantity Requested" indicates five permits are needed for the five visitors. The "Parking Needed Date" is the date of their visit.

Remember, you are only charged for used permits! So if only three of the visitors use their permit, you will only be charged for those three.

This is for visitors that will be on campus more than one day.

The visitors will select the start date for their permit after using the link!

The "Parking Needed Date" is only used to determine how long the link will be active. For multi-day permits, set the "Parking Needed Date" to the last date of their visit so the link is active until the very last day.

This is how you request multi-day permits for multiple visitors.

The "Quantity Requested" indicates two permits are needed for the two visitors. The "Parking Needed Date" is the last date of their visit.

Multi-day permits (2 Day, Weekly, Monthly, etc.) are always consecutive! The visitor will select the start date when they use the link.

If you have the same visitors coming to campus on non-consecutive days, you'll have to submit a separate request for each day.

The "Quantity Requested" indicates three permits are needed for three visitors. The "Parking Needed Date" is the date of their visit.

Note these are two separate requests!
